1. PURPOSE AND SCOPE
This Refund Policy explains how OPCT IT Partners handles refund requests for hardware, software, subscriptions, support, projects, repairs, hosting, connectivity and other products or services supplied by OPCT.
A refund is assessed according to the reason for the request, the type of product or service, how much work has already been performed, whether third-party costs have already been incurred and any rights that apply under South African law.
2. WHEN A REFUND MAY APPLY
A refund may be considered where, for example:
- Goods are defective, unsafe or fail to meet applicable quality requirements.
- The wrong product was supplied and the error is attributable to OPCT.
- A paid product cannot be supplied and no acceptable alternative is agreed.
- A service was paid for but has not started and cancellation is permitted.
- A duplicate payment or billing error is verified.
- A statutory cooling-off, cancellation or other refund right applies.
- OPCT agrees in writing to cancel an order before material procurement, provisioning or labour has commenced.
3. DEFECTIVE OR INCORRECT GOODS
Where goods are defective or incorrectly supplied, OPCT may inspect and test the item before deciding the appropriate remedy. Depending on the circumstances and applicable law, the remedy may be repair, replacement, exchange, credit or refund.
Testing is intended to confirm the reported fault, identify physical or environmental damage and determine whether the issue is a product defect, configuration issue, software issue, installation issue or another cause.
4. SERVICES AND LABOUR
Charges for services already performed are generally not refundable merely because the customer later decides that the service is no longer required. This can include diagnostics, remote support, on-site labour, installation, configuration, migration, consultation, recovery attempts, project work and other professional services.
If a service has not been performed with the standard required by applicable law or by the agreed scope, OPCT will assess the issue and may re-perform, correct, credit or refund the affected portion where appropriate.
5. SOFTWARE, LICENCES, DOMAINS AND CLOUD SERVICES
Software licences, subscription products, domains, hosting, cloud resources and other digital services may become non-refundable once a licence key is issued, a subscription is provisioned, a domain is registered, a tenant or service is activated or a third-party supplier charge becomes irreversible.
Where a digital product is defective, incorrectly supplied or otherwise subject to a mandatory remedy, the applicable statutory rights remain unaffected.
6. SPECIAL-ORDER AND CUSTOM PRODUCTS
Hardware or services sourced, built, configured, imported or reserved specifically for a customer may not qualify for a change-of-mind refund once procurement or customisation has begun, where the law permits this. Examples include custom PCs, special servers, ordered-on-request components, configured network equipment, bespoke software work and customer-specific licensing.
7. DEPOSITS AND ADVANCE PAYMENTS
A deposit or advance payment may be refundable in full, partially refundable or non-refundable depending on work completed and third-party commitments already made. Where cancellation is permitted, OPCT will calculate the actual committed costs and the value of work already performed before determining the refundable balance.
8. CHANGE-OF-MIND REQUESTS
Where no statutory right to return or cancel applies, OPCT may choose to accept a change-of-mind refund request at its discretion. The product may need to be unused, complete, undamaged, in resaleable condition and accompanied by all supplied accessories and packaging.
Reasonable costs for collection, testing, restoration, repackaging, supplier charges or value loss may be deducted where legally permitted and disclosed to the customer.
9. HOW TO REQUEST A REFUND
Send the request to info@opct.co.za and include:
- Customer or company name.
- Invoice, order, quotation or ticket number.
- Product or service concerned.
- Reason for the refund request.
- Relevant photos, fault information or supporting documents.
- Preferred contact details.
10. ASSESSMENT AND APPROVAL
OPCT may need to inspect goods, review service records, confirm payment, check supplier terms or verify a cancellation before approving a refund. A request is not approved until OPCT confirms approval in writing.
11. REFUND METHOD
Approved refunds are normally paid back using the original payment route where practical, or another verified method agreed with the customer. OPCT may require proof of account ownership before paying a refund to a bank account that differs from the original payer.
12. PROCESSING TIME
OPCT aims to process approved refunds promptly after all required checks, returns and supporting information have been completed. Banking, card processor and third-party settlement times are outside OPCT’s direct control.
13. FRAUD, CHARGEBACKS AND DUPLICATE RECOVERY
A customer must not obtain both a refund and a successful chargeback for the same amount. If a payment dispute or chargeback is already in progress, OPCT may wait for that process to conclude before processing a separate refund.
CONTACT AND LEGAL PRIORITY
Questions about this policy may be sent to info@opct.co.za. Please include the relevant customer, order, invoice, service or ticket reference where available.
These terms are intended to explain OPCT’s standard business practices. They do not remove any right or remedy that cannot lawfully be excluded or limited. If a provision conflicts with mandatory South African law, the applicable law will prevail to the extent of the conflict.
