Service Cancellation & Termination Policy

Cancellation and termination of recurring OPCT services

Effective Date: 26 September 2026
Business: OPCT IT Partners
Website: www.opct.co.za
Email: info@opct.co.za
Address: 639 Rubenstein Drive, Moreleta Park, Pretoria, South Africa

1. SERVICES COVERED

This policy applies to recurring or ongoing OPCT services such as support plans, managed IT, hosting, domains, cloud services, connectivity, security services, backup services and other subscription or retainer arrangements.

2. AGREEMENT-SPECIFIC TERMS

The applicable quotation, SLA, service schedule or contract may specify a minimum term, notice period, renewal cycle or early-termination charge. Those terms apply in addition to this policy, subject to mandatory law.

3. WRITTEN CANCELLATION REQUEST

A cancellation request must be submitted in writing through the approved OPCT cancellation process. OPCT may require a signed or electronically signed cancellation instruction identifying the customer, service, effective date and reason for cancellation.

4. AUTHORISED REQUESTER

OPCT may verify that the person requesting cancellation is authorised to act for the customer or account holder. Additional confirmation may be required where the service affects domains, security, user accounts, data or business continuity.

5. CANCELLATION DATE

The customer may request immediate cancellation or a future effective date. Where the contract requires notice, the effective date will be adjusted to comply with the applicable notice period unless another date is lawfully agreed.

6. FINAL ACCOUNT CALCULATION

Before cancellation is completed, OPCT will calculate charges already incurred, usage, third-party commitments, notice-period charges, hardware obligations, credits and unpaid invoices so that the final account is clear.

7. FINAL INVOICE AND OUTSTANDING BALANCE

Where money remains due, OPCT may issue a final invoice or statement. Cancellation is not treated as financially complete while valid outstanding charges remain unpaid, except where applicable law requires a different treatment or the amount is formally disputed and under review.

8. PREPAID AMOUNTS AND CREDITS

Unused prepaid amounts or account credits will be handled according to the applicable service terms, third-party commitments and law. Where a refund is due, the Refund Policy applies.

9. THIRD-PARTY SERVICES

Domains, Microsoft services, cloud subscriptions, licences, hosting, connectivity and other third-party services may have their own notice, renewal, transfer or non-refundable commitment periods. OPCT will explain material third-party requirements that affect the cancellation where reasonably available.

10. DATA EXPORT AND HANDOVER

Before service closure, the customer should identify any required data export, DNS transfer, domain transfer, mailbox migration, backup export, credentials, configuration records or handover material. Migration and export work may be separately chargeable unless included in the service.

11. CUSTOMER EQUIPMENT AND OPCT EQUIPMENT

Any OPCT-owned, rented, loaned or financed equipment must be returned or otherwise dealt with according to the relevant agreement. Customer-owned equipment remains the customer’s property.

12. ACCESS REMOVAL

After the effective cancellation date, OPCT may remove remote management agents, administrator access, monitoring, backup jobs, hosted resources and other service access that OPCT no longer requires or is no longer authorised to maintain.

13. SECURITY AND BUSINESS CONTINUITY

Cancelling security, backup, monitoring, hosting or connectivity can create immediate operational risk. The customer is responsible for ensuring that replacement services are ready where necessary. OPCT may recommend a staged handover instead of abrupt termination.

14. CANCELLATION CONFIRMATION

Once the required cancellation steps are completed, OPCT will issue a cancellation confirmation or other written record showing the effective date and any remaining obligations.

15. TERMINATION BY OPCT

OPCT may terminate a service in accordance with the contract and applicable law, including for material non-payment, serious misuse, unlawful activity, unacceptable security risk or other material breach. Where reasonable and legally appropriate, OPCT will provide notice and an opportunity to remedy the issue.

16. RECORDS

OPCT may retain cancellation records, final invoices, communications and service history for legitimate business, accounting, dispute-resolution and legal purposes in line with the Privacy & POPIA Policy.

CONTACT AND LEGAL PRIORITY

Questions about this policy may be sent to info@opct.co.za. Please include the relevant customer, order, invoice, service or ticket reference where available.

These terms are intended to explain OPCT’s standard business practices. They do not remove any right or remedy that cannot lawfully be excluded or limited. If a provision conflicts with mandatory South African law, the applicable law will prevail to the extent of the conflict.

OPCT may update this policy when business processes, services, technology or legal requirements change. The version published on this website is the current public version.
